Project Workflow & Client Responsibilities

At Ad Monies Ltd., successful projects are built through clear communication, organized collaboration, and timely client participation.

This page outlines how projects are structured, what is expected from both parties, and how we keep projects moving efficiently from start to launch.


1. Project Start Requirements

Projects will not enter active production until all required materials and onboarding items have been provided.

Depending on the project, this may include:

  • Finalized branding assets and logos
  • Product information and pricing
  • Approved written copy/content
  • Photography and media assets
  • Required account access
  • Operational or business decisions impacting the build

Delays in supplying materials may result in timeline adjustments and scheduling delays.


2. Client-Supplied Content Responsibility

Clients are responsible for reviewing and validating all supplied materials prior to submission.

This includes:

  • Written copy
  • Product information
  • Pricing
  • Policies
  • Specifications
  • Operational information
  • AI-generated content
  • Photography/media assets

Corrections resulting from inaccurate, changing, incomplete, or unapproved client-supplied information may be billable.


3. Revision Structure

Projects include reasonable revision opportunities during the approved build process.

To maintain efficiency and scheduling integrity:

  • Revision rounds are tied to project phases
  • Major changes after approval may require additional billable work
  • Reversals of previously approved work due to changing preferences, stakeholder feedback, or creative direction changes may be billed separately

Ad Monies Ltd. reserves the right to identify when requested changes exceed normal revision scope.


4. Timely Feedback & Decision Making

Project momentum depends on timely client communication and approvals.

Extended delays in:

  • Feedback
  • Scheduling
  • Operational decisions
  • Stakeholder approvals
  • Content delivery

may extend project timelines and scheduling availability.

Ad Monies Ltd. is not responsible for delays caused by missing materials, slow communication, or delayed client approvals.


Stakeholder Feedback Responsibility

Clients are responsible for consolidating internal stakeholder feedback prior to approvals, revision requests, or implementation decisions.

Ad Monies Ltd. is not responsible for repeated redesigns, revision loops, conflicting direction, or delays resulting from changing stakeholder opinions after approvals have been provided.


5. Communication & Meetings

To maintain organized project records and communication accuracy:

  • Project meetings are conducted through Google Meet
  • AI-generated meeting summaries and notes may be used for project documentation
  • Clients are encouraged to review meeting summaries and provide clarification if required

Phone-only project meetings may not be available except under special circumstances.


Meeting Documentation & AI Notes

Project meetings may be documented using AI-generated meeting summaries and operational notes for project accuracy, task tracking, and internal recordkeeping purposes.

Clients are encouraged to review meeting summaries and notify Ad Monies Ltd. promptly if clarification is required.


6. Backend Training & Walkthroughs

Projects may include a backend onboarding or walkthrough session depending on the agreed project scope.

This session is intended to cover:

  • Platform basics
  • Backend navigation
  • Site validation/testing procedures
  • General operational workflows

Included onboarding sessions must be scheduled within the designated onboarding window following launch.

Additional training, onboarding, or repeated walkthrough sessions may fall under standard support billing.


7. Project Dormancy

Projects inactive for extended periods due to lack of communication, approvals, content, or scheduling may be considered dormant.

Dormant projects may:

  • lose reserved scheduling priority
  • be rescheduled based on current workload
  • require timeline adjustments
  • require reactivation scheduling

8. Launch & Transition to Support

Once a project launches, ongoing updates, support, and future additions transition into Ad Monies Ltd.’s ongoing support structure.

9. Business Hours

Standard business hours are:

Monday – Friday
8:00 AM – 4:00 PM EST

Closed weekends and statutory holidays.
